The document must be a letter or screenshot of proof the person receives any federal assistant (SNAP, WIC, Food stamps, Social Security Supplement, SSI, TNF, Soonercare, etc.). If they submit a 1040, check that they meet these requirements (the number of people in the household is on their form answers):

Check address
Plug their address into this website and make sure they are in city limits (there should be a color background and not grey on the map).
If approved, put your name under “Reviewed by” (it’s a dropdown), put today’s date for date approved, and choose an expiration date in 8 weeks.
Choose an outcome (also dropdown). There is approved, approved with multiple pets, not in Norman, and inadequate income verification.
If they have an email address, click on the checkbox for “Send Application Letter” and the person will be notified if the application is declined. If they don’t have an email address, use their preferred method of contact to let them know.
*if they have more than one pet, only choose send application letter for ONE pet and a letter will be sent for all of the pets.*
Make notes on the record as needed.
Click on either approved or declined and they will be removed from the list. If the application was approved, go to the next section on creating vouchers.


Link SNIP application with surgery schedule
Under “Spay/Neuter”, start typing the person’s last name and then choose from the options that pop up (if they have more than one pet you’ll need to match the appointment application with the specific pet’s SNIP application.) Linking the application will ensure our appointment schedule has all of the owner’s information.
If the person answered they filled out a Best Friends of Pets form, choose "BFOP" instead of using their last name under the Spay/Neuter column.

Schedule a surgery appointment

Choose a date and enter it in the first column.

Scroll all the way to the right and check the box under multiple if the person has multiple pets.

If the owner has an email address, check the box under "Appt letter" and the person will be emailed all of the relevant appointment information. *For multiple pets, only click the "Appt letter" box for one pet*
Once the owner responds, click on the "Confirmation" box. If an appointment is approaching and we haven't gotten confirmation, call or text the owner.
